Enter Hours - Invoicing

OBJECTIVE

The Enter Hours - Invoicing function is used to invoice project hours with payment to the individual's department. This type of transaction, which is separate from the salary costs transaction, provides greater flexibility in terms of project costs.

 

The hours are from the Service Management module if the Hours Destination field is set to Hours – Invoicing in Configuration. However, equipment hours entered in the Service Management module will be transferred to the Hours option.

  1. Enter the required information in the Default Values tab:

 

The information is automatically transferred to the Breakdown section.

Information can be imported by clicking the Import hours from Excel icon.

You can verify the source of an hourly rate line-by-line by clicking on the Show readings that determined this hourly rate icon.

 

Field

Description

Date

Enters the current date by default if no date has been entered in the default values. It can be modified.

NOTE: The date is usually the pay period end date.

Company

Company responsible for the expense, in multidimensional mode only.

Employee

Employee for whom hours are entered.

NOTE: You can use the Alpha Code defined in Employee Management instead of the number. This function can be activated by clicking on the Configuration icon in the Other section.

Project no.

Project to which the salary expenses are allocated.

Activity

Activity on which the expense was incurred.

Group

Group for which the expense was incurred.

Trade

The employee’s trade code. By default, the system displays the trade code specified in the Trades and Unions tab in Employee Management, if applicable.

Rate

Hourly rate used.

NOTE: The hourly rate is now calculated based on Define Hourly Rates and the system reads from the most precise entry to the least precise to determine the hourly rate.

Rate Type

Used to determine whether the hours entered are paid in regular, half or double time, or banked hours.

Hours

Number of hours worked by employee.

W/C - CSST

W/C - CSST activity.

NOTE: By default, the system displays the W/C - CSST activity code entered in the employee's record. However, if a CSST code is assigned to the project activity entered, it has priority.

PBB Activity

PBB Activity.

NOTE: This activity applies only to electricians.

NOTE: By default, the system displays the PBB activity code entered in the employee's record. However, if a PBB code is assigned to the project activity entered, it has priority.

Cost

Hourly cost based on the configurations.

NOTE: The system chooses in the following order:

  1. Cost specified in the employee's record.
  2. Cost specified in the employee's employment category.
  3. Employee's normal hourly rate multiplied by the fringe benefits rate for the category.
  4. Normal hourly rate for the category multiplied by the fringe benefits rate for the category.
  5. Average hourly cost for the payroll based on the dispatch date.
  6. The employee's hourly rate.

NOTE: If the Billable Project field in Project Management is checked, the system calculates the hourly cost based on the priority (1 to 6 explained below), multiplied by the markup percentage for the project.

Or

If the Use Selling Price field in Project Management is checked, the system displays the cost according to the selling rate in Employee Management. If empty, it uses the selling rate in Define Work Categories.

NOTE: If the selling rate is used, the system multiplies the selling rate by the Overtime Factor or by the Double time specified in Configuration for overtime and double time hours. If no factors are specified, the system multiplies the selling rate by 1.5 for overtime and by 2 for double time.

Name

Name of the selected employee.

Invoicing Activity

Invoicing activity.

Invoicing Group

Invoicing group.

Comment

Comment on hours.

NOTE: This comment is not included in any miscellaneous reports. It can only be printed by the List Generator.

  1. Click Save.
  2. Transfers must be based on preferred labour costs:
    1. By transaction in the Enter Hours option.
    2. Click the Transfer Transactions icon in the main menu.
    3. Using the Payroll Reconciliation option, if fringe benefits are used.
